Finance and Operations Manager

Reports To: Executive Director

Position Summary:

The Finance and Operations Manager plays a critical role in ensuring the financial health and efficient operations of Montessori Day School of Brooklyn. This hybrid position oversees all aspects of the school's financial management, including budgeting, financial reporting, accounts payable and receivable, and payroll. Additionally, the Manager is responsible for vendor management, encompassing payment processing, contract negotiation, and service scheduling. On occasion, this role will contribute to larger strategic planning projects, particularly those related to facility renovation and improvement. The ideal candidate will be a detail-oriented, proactive, and highly organized individual with a strong understanding of nonprofit financial practices and excellent communication and problem-solving skills, capable of effectively managing responsibilities in both an office and remote work environment.

 

Responsibilities:

Financial Management:

  • Develop and manage the annual budget in collaboration with the Executive Director and relevant staff.

  • Monitor budget performance, analyze variances, and provide regular financial reports.

  • Oversee all accounting functions, including accounts payable, accounts receivable, general ledger.

  • Prepare monthly, quarterly, and annual financial statements and reports for internal and external stakeholders, including the Board of Trustees.

  • Ensure compliance with all relevant financial regulations, accounting standards (GAAP), and nonprofit best practices.

  • Manage cash flow and banking relationships.

  • Coordinate and support the annual audit process.

  • Develop and implement internal financial controls and procedures.

  • Process donations and maintain donor records in accordance with organizational policies and legal requirements.

 

Vendor Management:

  • Manage relationships with vendors, including negotiating contracts, ensuring service delivery, and resolving issues.

  • Oversee the timely and accurate processing of vendor invoices and payments.

  • Develop and implement efficient service scheduling for key vendors (e.g., cleaning, maintenance.)

  • Research and identify potential new vendors to ensure the school receives high-quality services at competitive prices.

 

Strategic Planning & Special Projects:

  • Participate in strategic planning initiatives, providing financial and operational insights.

  • On occasion, take on project management responsibilities for larger strategic projects, particularly facility renovations or improvements, including developing project plans, budgets, and timelines.

  • Collaborate with the Executive Director and other staff on operational improvements and initiatives.

 

Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

  • Minimum of 3  years of experience in financial management, preferably within a nonprofit organization, educational setting, or similar structured businesses.

  • Demonstrated experience in budgeting, financial reporting, and general accounting principles.

  • Strong understanding of nonprofit accounting practices and regulations.

  • Experience with vendor management, including contract negotiation and payment processing.

  • Excellent organizational skills and attention to detail.

  • Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word).

  • Strong communication, interpersonal, and problem-solving skills.

  • Ability to work independently and as part of a team, with experience managing responsibilities in a hybrid work environment.

  • Experience with project management, particularly in relation to facility renovations, is a plus.

  • Familiarity with the Montessori philosophy is a plus.

Work Environment:

This is a hybrid position with a combination of on-site work at Montessori Day School of Brooklyn in New York, NY, and the flexibility to work remotely on certain days. The specific schedule will be determined in collaboration with the Executive Director. Candidates must have the ability to commute to the school as needed.

Compensation & Benefits:

​

  • The salary range for this position is $95,000 to $115,000 annually, commensurate with experience and qualifications.

 Full-Time Toddler-Assistant Teacher (Immediate hire)

 

The Montessori Day School of Brooklyn is seeking a joyful and passionate Early Childhood toddler assistant teacher to join our amazing staff of educators.  The ideal candidate should be in process or already possess their certificate in Infant/ toddler Montessori instructions and should have experience working in a Montessori preschool program. The candidate must possess skills to work well with others and a deep understanding of the importance of a prepared learning environment. The ideal candidate will be warm, vibrant and compassionate towards children and will help to create a joyful learning environment with their teaching team.

 

Responsibilities:

  • Work with and support the lead teacher in preparing and maintaining an emotionally responsive, nurturing, accepting, and safe classroom environment that provides both independent and social learning that meets the varying needs of the students

  • Plan and work collaboratively with the team

  • Support teaching team in conducting family conferences and end of year narrative reports

  • Attend all faculty meetings and attend professional development opportunities

  • Participate in meetings with administration about student growth and curriculum

 

Qualifications:

  • Experience working with children ages 2's and 3's

  • Must have experience and be knowledgeable about Early Childhood development and education

  • Enthusiastic about working with small children in a mixed-age classroom

  • Early Childhood Education (Associates or Bachelors degree required)

  • Growth mindset and problem-solving approach

  • Experience working in a diverse and inclusive setting

  • Montessori teacher certification a + (but will consider applicants on the pathway to receiving Montessori certification or Montessori experience)

  • Experience working in an AMS Montessori environment preferred

  • Strong desire for professional growth and development

  • Proficiency in technology (Microsoft Word, Excel, Google apps, School Communication apps i.e Tadpoles, ParentSquare, BrightWheel)

  • Strong ability to communicate effectively with team members, parents, and administrators

Salary: $40,000 - $50,000

Substitute Teacher

We are seeking to secure several substitute teachers to support our toddler and primary classrooms as needed. The ideal candidate(s) should have experience in a childcare setting and ongoing schedule flexibility. Experience working in a Montessori preschool program is a plus. The candidate(s) must also possess skills to work well on a teaching team and be flexible and positive. The ideal candidate will work to follow the children's interests and work closely with their team to provide the best possible classroom experience for the children.
 

Qualifications:

  • Experience working with children ages 2-5 years old

  • Ability to work well with other adults

  • Growth mindset and problem-solving approach

  • Experience working in a diverse and inclusive setting

  • Experience working in an AMS Montessori environment is a plus

  • Proficiency in technology (Microsoft Word, Excel, Google apps, School Communication apps i.e Tadpoles, ParentSquare, BrightWheel)
